When a quote is created there is a follow up date that is automatically set for it. In this article we are going to go cover what this functionality does and how to use it effectively.
A follow up quote is purely for internal use and does NOT notify the customer.
Setting up your default follow up date
Set your company default follow up date by going to “Company Settings” and then under the “Setup” tab expand the “Order Entry” settings. Now whenever a new quote is created a follow up reminder will be visible on the”Order Entry” page as well as on the “Tasks” page.
Viewing quote follow ups
Once a quote is created you can view and edit the follow up date for it either via the “Quotes & Invoices” page or the “Tasks” board.
Follow up quotes on the Quotes & Invoices page
First find your way to the Quotes & Invoices page, also known as the Order List.
Here you can see all quotes as well as the currently scheduled follow up date for each quote.
Follow up quotes on the Tasks board
To get to the task board you can use the Quick Shortcut button which is the purple icon at the top right.
The tasks board is a great way for you to keep track of outstanding work to be done on Teesom.
On the Tasks board under ‘Sales’ you can find the ‘Quotes – Follow Up’ section and expand it to see all quotes with follow ups scheduled for the current day or that are overdue.
Editing follow up details
You can update the follow up date for your quotes as well as make internal comments / notes. To do so simply open the relevant quote from either the Order list or Tasks board.
On the expanded quotation follow up dialog you can:
Select the option to ‘Schedule Next Follow Up’ or ‘Mark Quote as Lost’.
Change the stage the quote is currently in on Teesom.
Change the intended follow up date.
Make internal comments. (The customer does not see these notes)
View previous comments / notes. (The notes section also includes any comments made by the user on the Teesom customer portal)
