Job Board vs Task Board vs Calendar

The Task Board, Job Board and Calendar in Teesom were all created to help your busy shop stay on task and get jobs in and out in a timely fashion, while at the same time, not forgetting an important component of the successful completion of that job.

You can get to the Job Board, Task Board and Calendar view from the Shortcut icon located in the upper right hand corner of the header.

Job Board

The Job Board will mostly be used to see a running list of all jobs at the WIP stage. The Job Board will also allow you and your team to quickly glance at the progress circles, and determine if you can run that job or not.

You can do many things from the Job Board:

  • Create a New Order
  • Purchase for an order or orders
  • Filter by a specific embellishment type, i.e. screen print, embroidery, etc.
  • Filter by Progress Circles, for example, you can show only WIP that needs art done, or that has goods that need to be ordered or that have goods that need to be received in
  • Click on the Order Number to open an order to edit it
  • Click on a specific Job to view it’s garment and imprint details
  • Click on the embellishment logo to view the imprint and zoomed image
  • Click on either the Company name or Contact to open and/or edit Customer information
  • Click on the Date of the order to open the Dates tab from the order
  • Click on the Production Date to easily change this date
  • Click on the drop down next to the WIP Stage to change the Stage
  • Click on the …. (more) to see a list of all Stage changes, as well as, change the stage
  • Click on any of the Progress Circles
    • Art: Allows you to open order, Click on Art hyperlink to edit art, Change WIP Status, and Self-Approve
    • Goods Ord: Allows you to open the order, View Order garment details, see Purchase Orders, and view Customer Goods
    • Goods In: Allows you to open the order, View Order garment details, see Purchase Orders, and view Customer Goods
  • Action drop down
    • Open order
    • Create PO, View Goods
    • Send Invoice
    • Take Payment, View Payments
    • Print WO, Print Pack Slip
    • Edit Art, Send Art Approval
    • Print Invoice
    • View Customer’s Invoice
    • Send Customer Message
    • Re-Order
  • Order Notes

Task Board

The purpose of the Task Board is to remind you and your staff of all the steps to successfully take an order through concept to completion. There are several Tabs on the Task Board and they can be assigned to a different employee or have one employee manage all tabs. The tabs are as follows:

  • Sales: allows the Sales team to keep on top of Quotes, New Order progress, deposit collection, and after sales follow up for customer satisfaction
  • Production: allows production to stay on top of jobs that need things done still in order to move it to production, can easily see jobs that are ready to be produced and those jobs that might be waiting on something, including a customer’s deposit.
  • Art: allows graphic artist to see new orders that have come in that need a design setup, also alerts graphic artist as to stage of customer’s approval
  • Goods: allows purchasing agent to see the various stages of purchasing for orders
  • Ship/PickUp: allows our shipping department to see which orders need shipped or picked up or delivered and those that may need money collected before leaving the shop. Also allows team to see which orders will be picked up by the cusotmer.
  • Money: allows the owner/bookkeeper to see money that needs to be collected from customers.

Calendar View

The purpose of the Calendar is to drag and drop jobs that are ready to be produced on the soonest available date that you can run them. It also prevents you from running jobs on a date that is after the customer’s promised date.

At any time you can click on the Job on the calendar and get an expanded view of the production detail screen. If you click on the placement image it will show all the shirts that are getting that logo. In the image below, when I click on the back logo you can see the Large shirts will not get this logo.

Below, a job was dragged to a date that was after the customer’s due date, you can see that an alert has appeared. Also, notice the weekends, and the two holidays are a darker gray, these were setup as days that we do not do production, therefore it will not allow me to drag a job to that date.

The purple numbers that appear in the corner of the day box tell me how many jobs are set for production that day. If you have so many jobs on one day that you want an expanded view, click on the purple number and the list of jobs for that day will be expanded on the right hand side, as seen below.

Click the X on the expanded view to close it and move the 6th back into the calendar.
